Inspections module questions and answers

Now, with the Inspections module, property managers can efficiently handle all their day-to-day administrative tasks within our CRM. This fully integrated solution enables users to conduct inspections, check-ins, and inventories directly within the iamproperty CRM, removing the need for additional third-party add-ons. This not only saves time but also reduces extra costs. As the module operates similarly to our core CRM solution, it is simple for your team to adopt, ultimately streamlining processes and cutting expenses.

Does adding an inspection automatically contact the tenant about the date and time of the inspection?

The module doesn’t do this as standard, however, you can set up an automation rule to ensure that this happens. This can be triggered when an inspection is added to your calendar, and it will schedule an email or SMS confirming the date and time to the tenant.

Is there an offline mode, so you can do the inspection if there is no or limited internet connection?

There is currently no offline mode, however this is on our development roadmap. Keep an eye out on the release notes for details of any future updates.

If you cancel an inspection does it remove the calendar entry?

If the inspection is cancelled the calendar entry is marked as cancelled but not removed, you can then go in and delete the entry.

Can you set the inspections to automatically book every quarter?

An automation can be created to do this.

Can you set the inspection frequency at the time of starting a new tenancy or renewal?

Once you’ve completed your inspection, you can set the date of the next visit, and you’ll get notification of this on your Activity List. You can also use bespoke user defined fields to create reminders in your lettings activity list, for example every 3 or 6 months, to let you know an inspection is due.

Will template changes carry over to the next inspection?

You can edit the templates in the module configuration settings, this will update it for all future inspections. Changes and additions made on the specific inspection within the inspection setup will apply to that inspection only.

Is there a general info section for things like utility information, keys or for tenant contact details?

You’ll be able to access this information within the respective property or tenancy records. This can be accessed from any device. If required, you can also use the notes field on the inspection for any relevant details.

Can you raise a maintenance task from the inspections module?

This feature is in development and coming soon. Keep an eye out on the release notes for details of any future updates. You add a new maintenance task from the quick links in the bento menu.

Can you take a photo at the property and include it on the report? Or do they have to be taken separately and uploaded afterwards?

If you are using the Inspection module on a mobile device, then you can take a photo and add it straight to the inspection. Alternatively, you can take the photos on your phone and add them afterwards.

Simply click on the upload images and from there you can choose to use the camera or add png or jpgs from your local files.

Will the resolution of the photo make the images smaller or larger in the report?

The image size is standard. However, the image ratio will depend on your camera settings and orientation. It will show as square, portrait or landscape depending on how the image is taken.

Does a copy of the report go to the tenant as well as the landlord?

You can select who to send the report to when you generate the reports. You can choose to send it to one party or to both tenant and landlord.

Will the report be dated & added to Documents?

When you complete the inspection and generate the report, a pdf version is added to the property documents. This will show the date you completed the report. The date and time of the inspection is automatically included on the header of the report.
